Finance/Administrative Assistant - Fiscal
Job Summary:
Performs a wide variety of duties, including administrative and accounting functions.
Qualifications:
Minimum 2 years business school and/or 4 years of training and experience in administrative support, computer experience with Excel and Word and accounting software.
Duties & Responsibilities:
- Maintain/Process Accounts Receivable and weekly/bi-weekly payrolls
- Manages files and file systems
- Maintains quarterly and annual tax returns
- Processes monthly billings to departments/External Agencies
- Processes correspondence, purchase orders, vouchers, timesheets, and legal documents
- Maintains various financial policies and procedures
- Coordinates meetings, seminars, and travel arrangements
- Maintains vendor files/year end reporting (1099’s)
- Maintains fixed assets inventory, including two-year on-site assessment
- Assists with personnel duties/training and with special projects
- Records and transcribes meeting minutes
- Processes insurance coverage additions and deletions for Agency vehicles/buildings
- Maintains a communication system for disseminating information to all department staff
- Coordinates completion of required program reports and maintains program files (in confidence)
- Maintenance and supplies for copy machines
- Assists with Agency audits
- Maintains Agency-wide Credit Cards
- Assists with budget development and analyzes financial data
